Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.
  • The submission has not been previously published, nor is it before another journal for consideration (or an explanation has been provided in Comments to the Editor).
  • The submission file is in OpenOffice, Microsoft Word, RTF, or WordPerfect document file format.
  • Where available, URLs for the references have been provided.
  • The text is single-spaced; uses a 12-point font; employs italics, rather than underlining (except with URL addresses); and all illustrations, figures, and tables are placed within the text at the appropriate points, rather than at the end.
  • The text adheres to the stylistic and bibliographic requirements outlined in the Author Guidelines, which is found in About the Journal.
  • If submitting to a peer-reviewed section of the journal, the instructions in Ensuring a Blind Review have been followed.

Author Guidelines

Information for Authors

“Studia Pelplińskie” is published by the Higher Theological Seminary in Pelplin in collaboration with the “Bernardinum” Publishing House. The Pelplin journal is an annual publication featuring articles on theology and other humanities. The publishers’ aim is to promote scholarly studies on Pomerania and to actively participate in the post-Vatican II renewal of the Church.

Articles for each volume must be submitted by the end of May of the given year.

Submitted texts are evaluated by the editorial board and selected for publication. Each article is reviewed by two reviewers. Authors and reviewers remain anonymous to one another.

Reviewers apply the following criteria when evaluating an article: The evaluation criteria are available on the website, as is the list of contributing reviewers.

  • Consistency between the title and the content.
  • Consistency between the abstract and keywords of the article and its content.
  • Substantive value of the work.
  • Appropriate structure of the work.
  • Correct use of scientific terminology.
  • Appropriate formulation of the final conclusions.
  • Correct citation of references.
  • Readiness of the article for publication.

The author will subsequently be notified of the acceptance or rejection of the text, as well as provided with guidelines for making any necessary corrections. Once the editorial process is complete, the author will receive the text for approval. The editorial board reserves the right to publish the article on the “Studia Pelplińskie” website.

The editorial board imposes time limits on the publication of reviewed books. Polish-language books must not be older than 2 years from the year of publication of “Studia Pelplińskie.” Foreign-language books must not be older than 4 years.

AI POLICY

Guidelines for Authors

This policy concerns the use of content generators in the process of writing scholarly texts. However, this policy does not cover the use of content generators for analyzing data and drawing conclusions as part of the research process.

If authors use content generators or other AI-assisted tools during the writing process, these tools should be used solely to improve the readability of the text and the language of the work. The use of content generators should be supervised by a human, and authors should carefully review and edit the output, as content generators may produce statements that sound authoritative but may be incorrect, incomplete, or biased. Ultimately, authors are responsible for the content of their work.

Authors should disclose in their manuscript the use of content generators and other AI-powered tools. An appropriate statement to this effect should be included in the publication. Disclosing this practice promotes transparency and trust among authors, readers, reviewers, editors, and collaborators, and facilitates compliance with the terms of use for the relevant tool.

Authors should not list content generators or other AI-powered tools as authors or co-authors, nor should they cite a content generator as an author. Authorship entails responsibilities and tasks that can be assigned to and performed only by humans.

Each (co-)author is responsible for ensuring that issues regarding the accuracy or integrity of any part of the work are properly investigated and resolved, and authorship requires the ability to approve the final version of the work and consent to its submission. Authors are also responsible for ensuring that the work is original, that all individuals listed as authors meet the criteria for authorship, and that the work does not infringe on the rights of third parties. They should also review our policy on publication ethics before submitting their work.

Content generators or other AI-powered tools must not be used to create or modify images in submitted manuscripts. This is because such tools could alter, move, remove, or introduce specific features of an image or figure.

Adjustments to brightness, contrast, or color balance are permitted, provided they do not distort or eliminate the information contained in the original. Forensic image analysis tools or specialized software may be used in submitted manuscripts to detect suspicious anomalies in images.

The only exception is when the use of content generators or other AI-powered tools is part of a research project or research methods (for example, in the case of AI-based approaches to imaging aimed at generating or interpreting research data, such as in the field of biomedical imaging). In such cases, this must be described in the methods section in a reproducible manner, explaining how AI systems were used in the process of creating or modifying the image, and providing the name of the model or tool, the version number, and the manufacturer. Authors should adhere to specific guidelines regarding the use of AI software and ensure proper attribution of content. Where applicable, authors may be asked to provide the images in the version used as input and/or the raw composite images used to create the final versions submitted for editorial review.

The use of content generators or other AI-powered tools in the creation of graphics, such as graphical abstracts, is not permitted. The use of content generators to create cover illustrations may be permitted in some cases, provided that the author obtains prior approval from the journal’s editor and publisher, provides proof that all necessary rights have been obtained for the use of the relevant material, and ensures proper attribution of the content.

 

Guidelines for Editors

A submitted manuscript must be treated as a confidential document. Editors should not submit a submitted manuscript or any part thereof as input to content generators, as this may violate the authors’ confidentiality and intellectual property rights, and where the work contains personal data, may violate data privacy rights.

 

Guidelines for Reviewers

Reviewers should not submit the submitted manuscript or any part thereof to content generators as input data, as this may violate the authors’ confidentiality and intellectual property rights, and where the work contains personal data, it may violate data privacy rights. This confidentiality requirement also applies to the review report, as it may contain confidential information about the manuscript and/or the authors. For this reason, reviewers should not submit their review reports as input to content generators, even if the sole purpose is to improve language and readability.

Scientific peer review is a key element of the scientific system. Reviewing a scientific manuscript entails a responsibility that can only be fulfilled by humans. Content generators or other AI-powered tools should not be used by reviewers to assist in the scientific evaluation of a manuscript, because the critical thinking and original assessment required for scholarly peer review go beyond the scope of these tools, and there is a risk that the results returned by the tools will contain incorrect, incomplete, or biased conclusions about the manuscript. The reviewer is responsible for the content of the review report.

Preventing “ghostwriting” and “guest authorship.”

The editorial board of *Studia Pelplińskie*, in opposition to “ghostwriting” and “guest authorship,” requires authors to disclose the contributions of individual authors to the publication (including their affiliations and specific contributions, i.e., information on who is the author of the concept, assumptions, methods, protocol, etc., used in the preparation of the publication), with the primary responsibility resting with the author submitting the manuscript to the Editorial Board. All detected cases of “ghostwriting” and “guest authorship” will be exposed, including notification of the relevant entities, i.e., the institutions employing the authors, scientific societies, and associations of scientific editors. In a statement addressed to authors after a manuscript is accepted, information is required regarding the sources of funding for the publication, as well as the contributions of research institutions, associations, and other entities.

 

Information on the Waiver of Fees for Submission and Publication of Articles

The editorial board of *Studia Pelplińskie* hereby informs that it does not charge fees for article submission, editorial work on the text, or publication in the journal.

Text Requirements

The text submitted to the editorial board should meet the following criteria:

  • The text must be saved in one of the following formats: *.doc, *.docx, or RTF.
  • The text must not exceed 15 A4 pages (30,000 characters).

Font and Paragraph Requirements: The complete text submitted to the Editorial Board must include:

  • 12-point Times New Roman font; 1.5-line spacing without indents or hyphenation; paragraphs separated by a line break; no formatting highlights in the text; all margins set to 2 cm.
  • The text must include the following attachments in Polish and English: an abstract (in Polish: approx. 800 characters including spaces; in English: approx. 1,500 characters including spaces), the title, and alphabetically ordered keywords (no more than 10).
  • A biographical note on the author containing the following information: first and last name, year of birth, academic title, position and place of employment, mailing address, and email address.

We encourage you to publish in “Studia Pelplińskie.”

 

Formatting of Bibliography and Footnotes

References to the literature should appear in footnotes using the comma-separated method. For the first reference to a given publication, provide the full bibliographic citation. In subsequent citations of the same publication, use an abbreviated citation. Include an appended bibliography at the end of the article.

Citation conventions for the most common types of publications: In abbreviated citations, use the following forms: ibid., op. cit., loc. cit.

  • Books: first initial, last name, title in italics, publisher, place and year of publication, page range.
  • Article in an edited volume: first initial, last name, title in italics, “in:”, title of the edited volume in italics, abbreviation “ed.”, editor’s first initial and last name, publisher, place and year of publication, page range.
  • Article in a journal: first initial, last name, title in italics, journal title in quotation marks, volume, year of publication in parentheses, issue or number, page range.
  • Online sources: first initial, last name, title in italics, link to the website, date accessed.
